Our Privacy Policy outlines how we collect, use, and protect your personal information. Your privacy and security are our priorities.

1. Information We Collect

1.1 Audio and Transcription Data

Session Pilot requires microphone access to record meetings and conversations. Audio is:

  • Processed entirely on your device using Apple's Speech Recognition framework (AVSpeechRecognizer). Raw audio is never transmitted to Proxie Studio's servers.

  • Not stored permanently by Proxie Studio. Once a session ends and transcription is complete, the audio is retained locally on your device only — accessible to you and under your control.

  • Exported only at your request. If you choose to export audio, that file is sent only to the destination you select (e.g., Mail, Files, Slack). We do not receive a copy.

1.2 AI Summaries

If you have enabled Apple Intelligence (on supported devices), meeting summaries are generated entirely on-device. No content is transmitted to Proxie Studio or any third-party AI service for this purpose.

If Apple Intelligence is not available or is disabled, summaries may be generated using on-device models only, and the feature may be limited.

1.3 Calendar Data

Session Pilot requests read-only access to your device calendar to display upcoming events. Calendar data is:

  • Read locally on your device.

  • Never transmitted to Proxie Studio's servers.

  • Used solely to display your schedule within the App and pre-fill session names.

1.4 Account Information (via Supabase)

When you create an account, we collect and securely store through Supabase:

  • Full name

  • Email address

  • Account creation date

  • A unique user ID (UUID)

Passwords are never stored in plain text. All authentication is handled securely by Supabase. See supabase.com/privacy for details.

1.5 Subscription and Purchase Data (via RevenueCat)

Subscription management is handled by RevenueCat. Data collected includes:

  • Subscription plan (monthly or annual)

  • Subscription status (active, expired, cancelled)

  • Purchase history and entitlements

  • Platform identifier (Apple App Store)

We do not collect or store payment card details. All billing is processed by Apple. See revenuecat.com/privacy for details.

1.6 Usage and Diagnostic Data

We may collect anonymized, non-identifiable data such as app version, device type, operating system, and crash logs to improve app stability. This data cannot be linked to individual users.

2. How We Use Your Information

We use collected information to:

  • Power the App's core features (recording, transcription, summaries, calendar integration).

  • Authenticate your identity and manage your account.

  • Manage your subscription and access to features.

  • Improve App performance and reliability.

  • Respond to support requests.

  • Comply with applicable laws and platform policies.

We do not sell, rent, or share your personal information with third parties for advertising or marketing purposes.

3. Permissions Required

The App requests the following system permissions on iOS:

  • Microphone — to record audio during sessions.

  • Speech Recognition — to convert speech to text on-device.

  • Calendars (read-only) — to display your upcoming events.

You may revoke any permission at any time via Settings → Session Pilot on your device. Revoking a permission will disable the corresponding feature.

Each provider operates under its own terms and privacy policies. We are not responsible for the data practices of these third-party services.

5. Data Storage and Security

  • Transcripts and summaries are stored locally on your device in the App's private container.

  • Account data is stored securely on Supabase with row-level security and encrypted transmission (HTTPS/TLS).

  • We do not store audio recordings on our servers at any time.

  • No method of electronic transmission or storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.

6. Account Deletion and Data Removal

6.1 How to Delete Your Account

You can delete your account at any time directly within the App:

Profile → Delete Account

No email, phone call, or external website is required.

6.2 What Happens When You Delete Your Account

Upon confirming deletion:

  • Your name, email address, and all account data are permanently deleted from Supabase.

  • Your unique user ID and account record are removed instantly.

  • All subscription entitlements are immediately revoked.

  • There is no grace period — data removal is instant and permanent.

Important: Deleting your account does not automatically cancel your App Store subscription. Cancel separately via Settings → [Your Name] → Subscriptions → Session Pilot → Cancel Subscription to stop future billing.

6.3 Local Data

Transcripts, summaries, and audio files stored on your device are not affected by account deletion and remain under your control. You may delete them by deleting the App from your device.

7. Children's Privacy

Session Pilot is not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe we have collected data from a child without appropriate consent, please contact us immediately at enquiries@weareproxie.com and we will delete it promptly.

8. Your Data Rights

Depending on your jurisdiction, you may have the right to access, correct, export, or request deletion of your personal data. To exercise these rights, contact us at enquiries@weareproxie.com.

9. Changes to This Policy

We may update this Privacy Policy from time to time. The "Effective Date" at the top reflects the most recent revision. Continued use of the App after changes are posted constitutes your acceptance of the updated policy. We encourage you to review this page periodically.
